Refund & Cancellation Policy

This Refund & Cancellation Policy explains when you can get a refund, how cancellations work, and how billing is handled on Waveloop, operated by NextBuild Technologies Pvt. Ltd. ("Waveloop", "we", "us").

This policy is part of our Terms of Service. Where the two conflict, the Terms of Service apply.

1. Plans & Billing Overview

  • Free plan: No payment required. Includes one Instagram account and a limited monthly automation allowance.
  • Paid plans: Billed monthly or annually with automatic renewal at the end of each billing period. Annual plans receive a discount compared to monthly.
  • Payment processor: Payments are processed securely by Stripe. Waveloop does not store full card details.
  • Taxes: Prices may be exclusive of applicable taxes. Where taxes apply (e.g., GST in India), they will be added at checkout.

2. 14-Day Money-Back Guarantee

If you are a new paid subscriber and Waveloop isn't the right fit, we offer a full refund of your first subscription charge within 14 days of payment.

  • Applies to your first paid subscription (monthly or annual).
  • Available once per customer.
  • Does not apply to subsequent renewals or to one-time add-on purchases that have already been consumed.
  • Accounts terminated for violation of our Terms or for abuse are not eligible.

3. What Is and Isn't Refundable

Refundable

  • Your first subscription charge, within 14 days
  • Duplicate charges or amounts billed in error
  • Unused one-time add-ons (e.g., DM packs) within 14 days of purchase, where none have been consumed

Not refundable

  • Automatic renewals after the initial 14-day window
  • Partial unused time on a current billing period
  • One-time add-ons after any portion has been used (digital content fully performed)
  • Charges on accounts terminated for Terms or Acceptable Use violations
  • Promotional or free-trial periods (no payment was made)
  • Third-party payment processor fees, where they cannot be refunded by the processor

4. Cancellation

You can cancel your subscription at any time from your account settings, or by emailing [email protected].

  • Cancellation takes effect at the end of the current billing period — you keep access to paid features until then.
  • Your account automatically downgrades to the Free plan after the current period ends.
  • Cancellation alone does not produce a refund for the current period. To request a refund within the 14-day window, see Section 5.

5. How to Request a Refund

Email [email protected] with the subject line Refund Request and include:

  • The email address associated with your Waveloop account
  • The plan you were charged for
  • A short reason (helpful but optional)

We aim to respond within 2 business days. Approved refunds are issued to the original payment method and typically take 5–10 business days to appear on your statement, depending on your bank or card issuer.

6. Downgrades and Plan Changes

You may downgrade or upgrade at any time. Upgrades are billed pro-rata for the remainder of the current period. Downgrades take effect at the end of the current period and do not produce a refund for unused time.

7. Failed Payments

If a renewal payment fails, we'll retry over a short grace period and notify you by email. If the payment cannot be collected within 14 days, the account may be downgraded to Free until the balance is resolved.

8. Chargebacks

If you have a billing concern, please contact us first — we can almost always resolve it directly. Disputing charges with your bank or card issuer before contacting us may result in your account being suspended while we investigate. Repeated or abusive chargebacks may result in permanent termination without refund.

9. Special Circumstances

  • Service outages: Extended outages (72+ consecutive hours of complete unavailability for paid functionality) may qualify for a prorated credit on a case-by-case basis.
  • Billing errors: Duplicate or incorrect charges are refunded promptly.
  • Wrongful suspension: If an account was suspended in error, we will reinstate access and credit or refund the inaccessible period.

10. EU/EEA Right of Withdrawal

If you are a consumer in the EEA, you may have a statutory 14-day right of withdrawal under Directive 2011/83/EU. By starting to use a paid digital service immediately on subscribing, you may lose this right of withdrawal as the service is treated as fully or partially performed. Our 14-day money-back guarantee in Section 2 is offered in addition to any applicable statutory rights.

11. Changes to This Policy

We may update this policy from time to time. Material changes will be posted here with an updated effective date.
